What we collect, why, and who can see it.

Manabi handles a school's money records and the details parents need to pay. This page says plainly what that involves.

Draft · September 2026 · for review

Who we are

Manabi is operated by Omika Labs, [company registration number], of [registered address], Accra, Ghana. Questions about this policy go to omikalabs@gmail.com.

Two kinds of data

School data.Pupil names, classes, fee notes, receipts, supplier and payroll records. The school owns this data and decides what goes in. Manabi keeps it on the school's behalf and acts on the school's instructions.

Account data. The name, phone number and email of the people who sign in to Manabi, whether staff or parents, and a record of what they did while signed in.

What we collect from parents

  • Your phone number and, if you give it, your email, so fee notes and receipts reach you.
  • Which pupils you pay for, as the school has recorded them.
  • A record of each payment: amount, date, the rail used and the provider's reference. We never see a card number or mobile money PIN; those go to the payment provider.

Why we use it

  • To send fee notes and receipts, and to show a school who has paid.
  • To run payroll and supplier payments a school has prepared and released.
  • To keep a ledger the school can rely on, including who did what.
  • To answer questions and fix problems when a school or parent contacts us.

We do not sell data and we do not use it to advertise to anyone.

Who else sees it

  • Payment providers [named], to move money.
  • Hosting and messaging providers [named], to run the service and deliver fee notes.
  • Authorities, where the law requires it and only to the extent it requires.

How long we keep it

School records stay as long as the school uses Manabi, and for [period] afterwards so the school can retrieve them. Payment records are kept for [period] as required by [applicable law]. Account data is deleted [period] after an account is closed.

Your rights

Under the Data Protection Act, 2012 (Act 843) you can ask what we hold about you, ask us to correct it, and object to how it is used. For school records, the school is the controller and we will pass your request to them. Write to omikalabs@gmail.com. Manabi is registered with the Data Protection Commission of Ghana under [registration number].

Changes

When this policy changes we will show the new date at the top and, for changes that matter, tell schools directly.
