Terms of service
The terms on which schools and parents use Manabi.
Plain language, no surprises. Where a word has a legal meaning we have tried to say what we mean by it.
What Manabi is
Manabi is a financial system for schools, operated by Omika Labs of Accra, Ghana. Schools use it to bill and collect fees, sell items, pay suppliers and staff, and keep one ledger of all of it. Parents use it to receive fee notes and pay them.
Schools
- A school opens an account by agreeing these terms with us, in writing or through the product. The person who does so confirms they are allowed to act for the school.
- The school decides who at the school can sign in and what each person can do, and is responsible for keeping those accounts to the people they belong to.
- The school is responsible for the accuracy of what it enters: pupils, fees, suppliers, salaries. Manabi acts on those records as given.
- Money parents pay settles to the account the school nominates. Payouts are made only from a balance the school has funded, and only after a second person at the school has released them.
Parents
- You may use Manabi to pay a school that has issued you a fee note. Paying through Manabi is the same as paying the school directly; the receipt is the school's.
- Refunds are a matter between you and the school. Where the school agrees to one, we will help it happen.
- The terms for parents say more about signing in, the wallet, pay links and the school shop. They are the terms the parent app links to.
What it costs
There is no setup fee and no subscription. Manabi charges the school a share of what it collects online, at the rate set out in the school's agreement, and nothing on money collected any other way. Manabi's fee is never added to a parent's bill. Charges a mobile money provider or bank makes on a parent's payment are shown to the parent before they approve it and are borne by the parent; charges on a payout are borne by the school.
Using it properly
Manabi may not be used to move money that is not the school's, to record things that did not happen, or to get around the two-person release. If we see that happening we may suspend the account and, where the law requires, report it.
Availability and support
We aim to keep Manabi available at all times and will give notice of planned downtime. When something goes wrong, write to omikalabs@gmail.com and we will respond within two working days, and sooner when money is in flight.
Liability
If money is lost because of a fault in Manabi, we will put it right, up to the fees the school has paid us in the twelve months before the loss. We are not responsible for records the school entered incorrectly, for payments the school itself prepared and released, for money lost because a school account was used by someone it did not belong to, or for losses that are not money. Nothing in these terms limits any liability the law does not allow us to limit.
Ending the agreement
A school may stop using Manabi at any time and take its records with it in a usable format. We may end the agreement with thirty days' notice, or at once if these terms are broken. Either way, the school's records stay available to download for twelve months afterwards.
Law
These terms are governed by the laws of Ghana. If we disagree about something, the school writes to us first and we try to settle it within thirty days. If that fails, the dispute goes to the courts of Ghana.
