Terms for parents

The terms on which you use the Manabi app.

You use Manabi to see your child's school fees and pay them. This page says what we each agree to, in plain words.

Who these terms are for

These terms apply to parents and guardians who use the Manabi app or the parent portal. You can use them because a school has linked you to a pupil. Using either means you accept these terms.

Schools use Manabi under the general terms. Where the two say different things, these are the ones that apply to you.

Signing in

  • You sign in with a 4-digit code sent to the phone number the school holds for you, or to your email. There is no password.
  • Anyone holding your phone can receive that code, so keep your phone and SIM safe, and sign out of the app on a phone that is not yours.
  • If your number changes, tell the school office. The school updates its record; we cannot change it for you.
  • The school decides which children are linked to you and what you can see and do for each of them: fees, payments, school information. If something looks wrong, the school office can change it.

Fee notes and payments

  • Fee notes, payment plans and due dates come from the school. We show them as the school has recorded them.
  • Paying through Manabi is paying the school. Money goes by mobile money, or by bank transfer to an account set up for your child, and settles to the school's own account. Manabi does not hold it and cannot move it.
  • Every payment gets a receipt from the school, with a receipt number and the payment provider's reference. Keep it. It is your proof of payment.
  • A mobile money payment is complete only once your provider confirms it. If you approve the prompt and nothing shows, the app keeps checking for a while. If it still does not show, contact the school with the reference.

Your child's wallet

  • Money you add is held against your child's fees and shown as the wallet. When it reaches the amount of the next installment, that installment is paid automatically.
  • The wallet is not a bank account. It earns no interest, and you cannot withdraw cash from it through the app. If you add money by mistake, or a balance is left when your child leaves the school, ask the school office: the school refunds it to the mobile money number or bank account it came from, and we help that happen.
  • Money the school has not yet applied to a fee note stays in the wallet for the next one.

Pay links

  • You can share a link so a relative, or anyone willing to help, can pay toward your child's fees with their own mobile money. They see your child's first name and the amount you asked for, never a balance.
  • Money they pay lands in your child's wallet like any other deposit. You choose who gets the link. You can revoke a link so it stops working, but money already received stays where it is.

The school shop

  • Items you order from the school's shop are added to your child's bill. Nothing is charged at the time of ordering. You can cancel an order while the school has not yet acted on it.
  • The school supplies what you ordered. Questions about an item, or about collecting it, go to the school.

What it costs you

Manabi does not charge parents for using the app or for paying through it. The school pays Manabi's fee out of what it collects, and nothing is added to your child's bill for using Manabi. Your mobile money provider or bank may charge its usual fee for a payment, which you see on the prompt before you approve it, and sign-in codes arrive at your network's standard SMS rate.

Refunds and mistakes

  • Refunds are a matter between you and the school. Where the school agrees to one, we help it happen.
  • If you think you have paid twice, or money has gone to the wrong place, contact the school with the receipts. We will help trace every payment by its reference.

School information

Where the school allows it, the app shows report cards, attendance and other information the school has recorded about your child. The school is responsible for what it says. Questions about a mark or an absence go to the school.

Messages

We send sign-in codes by SMS or email. If you turn notifications on, we also tell you about new fee notes, payments and updates from the school. You can turn notifications off in the account tab of the app at any time.

Your details

Our privacy page says what we collect and why. The notice you accept when you first sign in explains how the school and Manabi use your details under the Data Protection Act, 2012 (Act 843). You can read it again from the account tab of the app.

Using it properly

Do not use someone else's account, do not try to pay with money that is not yours, and do not interfere with the service. If we see that happening we may suspend the account and, where the law requires, report it.

When things go wrong

We aim to keep Manabi available at all times and will give notice of planned downtime. If SMS is slow, you can dial *928*132# on the same phone and the sign-in code shows on screen. We are not responsible for outages at mobile money providers, banks or phone networks, but if a payment you approved was taken from your account and has not reached the school within two working days, tell the school or write to us with the reference and we will trace it with the provider.

Liability

If money is lost because of a fault in Manabi, we will put it right, up to the amount of the payment concerned. We are not responsible for fee notes the school entered incorrectly, for payments you approved to the wrong school or child, for money lost because someone else had your phone or your sign-in code, or for losses that are not money, such as lost time. Nothing in these terms limits any liability the law does not allow us to limit.

Ending

You can stop using the app at any time. To be unlinked from a pupil, ask the school office. Your payment records stay with the school, as part of its ledger.

Changes

When these terms change we will show the new date at the top and, for changes that matter, tell you in the app before they apply.

Law

These terms are governed by the laws of Ghana. If we disagree about something, write to us first and we will try to settle it within thirty days. If that fails, the dispute goes to the courts of Ghana.
